A practical TDS deduction and quarterly-return review workflow
Organise payee, payment, deduction, challan and return evidence before a TDS filing or correction is authorised.
Start with the transaction, not a rate table
Before calculating TDS, identify the payer, recipient, payment nature, date of credit or payment, contract and tax-residency facts. Rates, thresholds, exceptions and forms can depend on those facts and on the law in force for the period.
Review workflow
- Validate identities. Check the deductor details, TAN where required, payee name and tax identifier against reliable records. The Income Tax Department explains that TAN is quoted in prescribed TDS/TCS returns, challans, certificates and communications. Income Tax Department — Know TAN Details
- Classify the payment. Retain the invoice, agreement and a short reason for the selected provision and treatment.
- Confirm the current rule. Check the applicable section, threshold, rate, timing rule, exception and any certificate or declaration from current official sources.
- Match deductions to deposits. Reconcile the deduction register, challans and ledger before return preparation.
- Review quarterly reporting. The Income Tax Department's current Form 140 manual describes quarterly reporting and the portal route for regular or correction returns. Income Tax Department — Form 140 User Manual
- Resolve exceptions before approval. List unmatched challans, missing identifiers, short or excess deductions and disputed classifications separately.
Evidence to retain
- Transaction and contract support.
- Payee identity and residency evidence relevant to the treatment.
- Section, rate and threshold review with source and review date.
- Deduction register and challan reconciliation.
- Draft return control totals and exception log.
- Reviewer approval and filing acknowledgement.
When specialist review is important
Seek qualified advice for non-residents, treaty claims, lower or nil deduction certificates, property transactions, complex benefits, corrections, material defaults or uncertainty about the applicable provision.
General-information disclaimer: This article provides a control workflow, not a rate card or tax opinion. Confirm the current statute, rules, forms, portal instructions and transaction facts before acting.
